Build Your First Workflow in 3 Minutes

In this quickstart guide, you will build an automated pipeline that listens for a new Google Form submission, generates a custom document using Smart Form Publisher, and posts a message to Slack.


Step 1: Open the Workflow Manager

  1. Open your target Google Form or the Google Sheet collecting responses.
  2. In the top add-on menu, click Extensions $\rightarrow$ Smart Workflows $\rightarrow$ Open Workflow Builder.
  3. The Smart Workflows sidebar will appear on the right side of your screen. Click + Create New Workflow.

Step 2: Configure the Trigger

  1. In the modal builder, your first node is automatically assigned to Google Forms: New Response.
  2. Click the trigger node to open the configuration drawer.
  3. Click Fetch Test Data. Smart Workflows will pull the most recent submission from your form to use as sample variables.

Step 3: Add the Document Merge Step (Smart Form Publisher)

  1. Click the (+) icon underneath the trigger node.
  2. Search for and select Smart Form Publisher.
  3. Choose the action: Generate Document from Template.
  4. Select your Google Doc template from Google Drive.
  5. In the Field Mapping section, pair your template tags with form variables:
    • {{ClientName}} $\rightarrow$ Select [Form: What is your name?]
    • {{Email}} $\rightarrow$ Select [Form: Email Address]
    • {{Date}} $\rightarrow$ Select [System: Current Date]
  6. Set the output format to PDF.

Step 4: Add the Slack Notification

  1. Click the (+) icon below the document generation node.
  2. Select Slack $\rightarrow$ Action: Send Channel Message.
  3. Authenticate your Slack account with one click (via our secure Google Cloud-verified OAuth).
  4. Select your destination channel (e.g., #new-signups).
  5. Compose your message using variables from both preceding steps:

    ”🎉 New signup received from {{ClientName}}! The contract has been generated and stored: {{PDF_File_Url}}”

  6. Click Test Step. Check your Slack channel to verify that the message appears immediately!

Step 5: Activate & Relax

  1. Click the blue Publish button in the top-right corner of the modal.
  2. Close the modal dialog.
  3. Your flow is now active. Every time a respondent fills out your form, your document will merge and your team will be notified in Slack—in under two seconds.
